The opportunity

Reporting to the Accounting and Finance Specialist, we are looking for a Finance Administrator who is detail-oriented and highly-skilled in QuickBooks. As a proactive individual, you take the initiative to follow up with clients, vendors, and internal teams before bottlenecks arise. This is an opportunity to manage day-to-day accounting processes from start to finish, assist with month-end, audits, planning, and reporting, and work alongside the C-Suite in a treasury capacity.

About the role

Our new Finance Administrator is someone with hands-on Accounts Receivable and billing experience. A curious, driven, and eager to learn individual with expertise in Excel and a firm grasp of basic accounting. In this role, you will maintain and support the integrity of our financial records, and impact all aspects of the business by working closely with solutions leads, department heads, sales, and operations teams.

You will focus on:


  • AP and AR. You will process incoming vendor invoices and prepare invoices for our recurring and project-based clients, resolving any discrepancies related to vendor or client invoices. 
  • Data. You will track financial data ensuring that it's up to date and properly formatted for billing. You will oversee employee time tracking and handle the consumption tracking for our solution. 
  • Customer support. You will process customer orders, contracts, material lists, and associated documents within the order management system. You will manage the financial aspects of licensing and customer renewals; addressing any issues our clients have.
  • Reporting. You will prepare monthly accounts payable/receivable aged reports. You will generate and maintain reports on order history, including licensing renewals and any matters the leadership team requests.
  • Collections. You will follow up on accounts for timely collection and problem-solve for overdue balances. This may involve collaborating with other teams to ensure services are restricted where required.
  • Forecasting. You will assist leadership in the development of budgets and cash flow analysis to adequately invest in the growth of the operations.
  • Products. You will accurately account for product sales - both time and materials and software products that require different accounting treatment and accurate capture alongside related costs to provide these products to customers
  • Office management. Though we are currently operating remotely due to the impacts of COVID 19, when the new normal includes going back to work, you will ensure the office operates efficiently and that teams have the resources they need, whether it be office supplies, internet access, or new ping pong paddles.


What's in it for you?

Exposure. You will work directly with leaders in various functions, including Finance, Sales and Operations. You will often be asked to support the CEO with ad-hoc reporting and key financial processes. You will be a primary contributor to insights into financial reporting, information, and ad hoc-analyses.


Impact. You will collaborate with team members from every department; playing a critical role across the board, including time tracking, customer experience, product licensing, and internal operations. You will work on multiple recurring projects and financial reporting initiatives.


What you bring:

  • The education and experience. You have a diploma or degree in Business Administration, Finance, Accounting, Economics, or a related field and 2+ years in accounts receivables, bookkeeping, and office management. You have an in-depth understanding of basic account principles, deferred revenue concepts, and billing/invoicing. Ideally, you have sales support experience.
  • The technical knowledge. You have advanced Excel skills and proficiency with QuickBooks accounting software. You may have working knowledge of financial reporting as it relates to the technology industry.
  • The drive. You don't wait for problems to be solved, but instead, seek out the information and resources necessary to develop and implement solutions. You know how to prioritize your tasks and work with a sense of urgency. You learn quickly and are ambitious. You thrive in an ever-changing, scaling environment. 
  • The communication skills. You have strong written and verbal communication skills and can work with team members from any level of the organization. You can work across teams and build relationships with C-level executives, clients, and vendors.
